Form 2: Media Coordination

Help Us Capture Every Perfect Moment of Your Big Day!

To make sure we document every meaningful moment of your wedding, we need a few key details.
Your answers will help us plan and organize the filming process so that everything is captured just the way you envision it.

With this information, we’ll be able to offer personalized recommendations and ensure every detail is beautifully preserved on your special day.

Wedding Day

Recommended Schedule by IbanezWeddings
PAYMENT

According to our contract, the event date is the final deadline for payment.
The most convenient time to handle this is during the couple’s getting ready.
We want you to enjoy the rest of your day without any financial concerns.

GETTING READY

Our Video & Photo team will arrive during the final touches of hair and makeup.
This takes approximately 1 hour.
If your bridal party will be with you, talk to them about our service so they’re prepared.
You can bring drinks and music to make photos feel more natural.

If the groom is at the same location, we can apply the same dynamics with him and his party.
If staying in the same hotel as the bride, we can coordinate both sides equally.

CEREMONY

After covering the getting ready, we’ll head to the ceremony venue to set up our cameras.
To ensure the best audio quality in your video, we recommend assigning someone to request permission from the ceremony staff in advance so we can connect to their audio system.
If not, we’ll use our in-camera audio.

RECEPTION

IMPORTANT: Before we arrive at the reception, please inform us of our designated work area.
We need one table and three chairs. This helps us avoid interfering with guest seating or catering protocols.

Make sure your reception has proper lighting—especially for the dance and toast moments.
If not, we’ll bring our own lighting, but we’ll need access to electrical power.

MEALS

Please let us know if meals will be provided during our coverage.
Your comfort matters to us.
If meals can’t be offered, kindly notify us in advance so we can make the necessary arrangements and maintain our energy to capture your day’s best moments.

END OF SERVICE

Our team will be with you from the beginning of the reception and will continue capturing key moments for the next 4 hours.
This includes the entrance, dinner, toast, dances, rituals, and party.

After this time and/or once the key formalities have concluded, our service will end—allowing you to enjoy the rest of your celebration uninterrupted.

Before the Event
Your wedding day is getting closer,

and to achieve the best results in our services, it’s essential that we work as a team. Each wedding is unique, and to truly capture the essence of both of you, it’s helpful to gather inspiration or ideas that reflect your personality and vision.
Our style focuses on documenting real, natural, and meaningful moments.

Below are some of the key points to consider before the wedding:

You may choose to print either a photo from your pre-wedding session or a wedding day image on canvas.
If you select a pre-wedding photo, we can bring an easel to display it at your event. (Decorations and flowers not included).
Please notify us of the selected file number as soon as you receive your edited digital photos.

To ensure clean audio in your wedding film, we kindly request permission to connect to the DJ’s microphone console.
We require an RCA output (red and white cables) for this setup.
Also, if our coverage includes speeches or the first dance, we ask for assistance in providing neutral lighting during these moments.

If the reception venue lacks proper lighting, our team will install additional lights to ensure the toast and dance portions are captured with clarity and quality.
